Step-by-step guide on what to do if your online store has a new operator

We at Webshippy do not have a contractual relationship with the online stores, but with the companies that run them. So in case of a change of company or owner, when the operator of a webshop changes, a new Webshippy account and a new contract is required.

In this case, the webshop - as an integrated sales channel - must be done again in the new Webshippy account, as well as the integration settings. In addition, any stock you may have, will also need to be moved to the new owner, because after the change of ownership, we will only be able to serve orders for the webstore from the inventory associated with the new Webshippy account.

If you have your own stock, the transition will take approximately 3-5 working days. It is advisable to plan 1-2 working days when the order fulfillment is suspended.

For Marketplace catalogue sales, if you do not have a product in stock, the changeover requires IT setup, and the new owner (user) have to choose the Marketplace catalogue products again. Our colleagues can help you, you only need to send us a ticket from the app.


If you sell or transfer the operation of your webshop to another company, you will have to do the following

Preparations

First of all, let us know that your online store will have a new operator by recording a customer service ticket.

The finance department will prepare a final settlement with the old operator, the transition can only take place once all financial settlements with the old operator have been settled.

Step by step guide to become a Dropshipper webshop

If your online store offers Webshippy Marketplace products in a dropshipping model:

  1. Register as a new operator in Webshippy and sign the contract.

  2. Select the products from the Marketplace catalogue in Webshippy that you want to display in your webshop and add them to your Webshippy product list.

  3. Create your existing webshop as a Sales channel in your new Webshippy account. For WooCommerce, change the API key you received in the admin interface of your webstore in the Webshippy plugin setup. If you have also outsourced your billing to Webshippy, you will also need to create and set up the billing profile.

  4. In the Webshippy admin interface, under Product Management - Products, start a product import - this will add the unique product ID of the webshop to the new user account in Webshippy.

  5. From now on, all orders that are not in "Completed" status in the webshop will be included in the new Webshippy account orders.

It is important that the Webshop (Sales channel) in the old account in the Webshippy system is set to inactive status.

Step by step to becoming an online store selling your own products

If your online store sells its own products:

  1. Register as a new operator in Webshippy and sign the contract.

  2. Select a business day for the transition.

  3. Export your products from the old Webshippy account, then import the saved spreadsheet into the new Webshippy account's products.

  4. Orders received by noon on the day of the changeover will still be collated and dispatched by Webshippy. The orders will be set to "Completed" status in Webshippy's system and the status change will be synchronized with the webshop

  5. At the end of the same day, also create the existing webstore in your new Webshippy account as a Sales Channel in your Webshippy system. For WooCommerce, replace the API key you received in the admin interface of your webstore in the Webshippy plugin setup. If you have also outsourced your billing to Webshippy, you will need to create and set up the billing profile.

  6. Then record a shipment in the old operator's Webshippy account, with the comment "Transhipment". Enter the working day following the day of the changeover as the day of the delivery.

  7. Record a shipment in the new operator's Webshippy account, add "Transhipment" to the comment, and the ID of the shipment recorded in the old account.

  8. In the Webshippy admin interface, under Product Management - Products, start a product import - this will add the unique product ID of the webshop to the new user account in Webshippy.

  9. From now on, all orders that are not in "Completed" status in the webshop will be included in the orders of the new Webshippy account. (Important: in the Webshippy system, the webshop (Sales channel) in the old account must be set to inactive status)

  10. The stock in the old account will be stored after the changeover date and then transferred to the stock in the new account. This may take several working days depending on the quantity. Important! The transfer can only take place if the old operator has no debts or outstanding accounts with Webshippy.

  11. Orders received in the new account can be processed and fulfilled after the products have been placed in stock.
