We provide real-time inventory synchronization between your webshop and Webshippy (as well as with Marketplace)

What is inventory synchronization?

Inventory synchronization means that Webshippy notifies the integrated webshops of all changes concerning the inventory of each product by updating the quantities in real time. Therefore, you’ll always have the correct quantities displayed and available to your customers.

Inventory synchronization works with your own products and the products of the Marketplace catalogue as well. The Webshippy application updates the changes in stock of all products, which you uploaded to your webshop from our Marketplace catalogue.

You must enable inventory synchronization in “Inventory sync” on Webshippy’s admin platform to have this option. You can verify it by clicking on “Details” in “Settings – Sales channels” in your webshop.

Why is inventory synchronization important?

It is critical for a webshop to display the right articles and quantities available to its customers at all times. Inventory synchronization provides a solution for this, also ensuring that customers can’t order an item that is out of stock.

How does inventory synchronization work?

Synchronization is launched by a change occurring in the available quantity of a product. In other words, data synchronization happens when change happens. For instance, the system synchronizes the data when an order arrives and is registered for a given product, or the quantity available for sale has decreased. It is also true when a product is shipped in, and the stock increases.

Important!!! If you are a dropshipping webshop working with Unas, Shoprenter or Shopify webshop system, when you upload the chosen products from our Marketplace catalogue, we will automatically update the real-time inventory in your online store. Please be patient, this update can take a while, depending on the quantity of products you upload.

Unfortunately, automatic update of new inventory does not work with WooCommerce, because you can upload products from Marketplace only manually. An available quantity of 0 will be displayed for the products following the upload. You need to do take the following steps to update your new inventory:

Please go to the "Product management" - "Products", and click to the "Import product" button. Once you do this in the case of your new inventory, you will receive real-time updates regularly.

With Shoprenter webshops you have the option of synching product statuses as well. If this function is enabled, product availability will be automatically synced between Webshippy and your integrated Shoprenter webshop.

What possible inventory status is there for catalogue products?

If you are selling Marketplace products at your webshop, you can find the following inventory status at Webshippy:

Immediate shipment: This is inventory that is sitting around and ready to be used. If the value is 0 (zero), there are no products available at our warehouse.

Shipment in 1-3 days: This value or interval indicates the number of products available at an external warehouse. Above a certain quantity, you’ll see only the interval and not the exact quantity.

For sale: This is inventory of a product that is immediately available at our warehouse and reserved for a sales order. If this value is 0 (zero), we don’t have the product on-hand at our warehouse, but we can perhaps ship it in from an external warehouse (see later).

Compliance: Indicates the ways of the fulfillment of the order.

Immediately from stock: means the product is at our warehouse and we can immediately process and package the order once the webshop has purchased and paid for it.

1-3 days: implies that the supplier is in charge of shipping in the product following the purchase and payment. Processing and delivering your package usually take us 1-3 workdays.

Reserved: shows that the product is ordered and reserved for sale, therefore the available quantity displayed is sold.

On-hand: the quantity represents the number of products available for purchase.

Product currently unavailable by wholesaler: you can see this notification if a supplier has temporarily removed a product from the Marketplace catalogue. Given that the product is unavailable, we are unable to fulfill the orders received (our system sends an automatic e-mail notification if the product is removed from the catalogue).

If you see the stock value:

  • 3: 3 products are available at external warehouses

  • 25-50: at least 25 items are available

  • "Unknown": we don’t have relevant information on the available quantity of the product, but it is unavailable for the moment

  • "Updating": means that the available quantity is currently being updated, but there is no available stock at the moment

  • 0 (zero): it is out of stock and there are no available products.

What possible quantity intervals are there concerning stock data?

Above certain quantities, Webshippy only displays quantity intervals of the stock. You can find the following intervals:

  • 5-10 piece

  • 10-25 piece

  • 25-50 piece

  • 50-100 piece

  • 100+ piece

In these cases, Webshippy always synchronizes the lower value to the webshops. This means that if the available quantity is 25-50 piece, we synchronize the value of 25 piece to your webshop.

Definitions:

Inventory: quantity of products available for a sales order at the present moment. If you have set ‘disable orders for products with the availability of 0 pieces’ setting at your webshop, Webshippy will only receive orders that are available in certain quantities Order processing will go smoothly. Thanks to inventory synchronization, customers are not able to place more products in their baskets than the actual quantity available.

Product status: availability of the product regardless of quantity. If it is “unavailable”, orders can’t be placed on the given product.
