Modifying product data, deleting products

What can you modify and how, in case of a ready, uploaded product.

To ensure error-free product – and inventory management, we must have an accurate register of the product information. For this reason, you have limited possibilities to modify and delete already uploaded information.

Here, we have created a list of your possibilities to change information if you have made a mistake when uploading your products, or changes have taken place since uploading them.

Identification by article number (SKU)

The SKU (stock-keeping unit), or article number is the identification used to manage and prepare orders. We keep track of the products internally and base all our operations on the article numbers.

Bar code identification

In our warehouses, we receive, move, collect and prepare products for an order based on their article numbers. Every bar code has an article number assigned and scanning it ensures that the right product is identified and moved.

Managing product details at Webshippy

The SKU number (article number) and the bar code of a product are sensitive information and any changes made can lead to changes in our processes or functioning of our system. Therefore, the article number can't be modified after creating and uploading the product. The bar code can be modified if, and only if the given product is out of stock at the Webshippy warehouse.

Deleting a product

If you have made a mistake and uploaded the wrong information (article number, bar code) to the system, (e.g., the imported Excel table contained the wrong data) and you have NEVER registered the given product in a shipment, nor listed it in the Dropshippy catalogue, your only option is to delete the item from the system. You can do this manually, one by one, or in bulk ( see the following link).

You can delete items one by one, manually, by clicking on “Tools” on the right side.

For security reasons, there is no possibility to delete items in bulk within the system. If deletion concerns many items, you can delete them with an imported excel sheet (see below).

IMPORTANT: If you would like to delete your product from the Dropshippy catalogue – and not your own, you have another option. You can find it at the bottom of the page.

Deleting products in bulk

If you would like to delete several products at the same time, you can do it in bulk. First, create an Excel table where you fill only one, first column: write the article numbers (SKU) of the products you want to delete below each other. Note, that you can use 1000 rows in a table altogether - if you want to delete more then 1000 products, use more excel sheet. Save the table and go to “Product management” – “Products”, click on “Tools” in the top right corner and select “Bulk deletion of products (XSLX/CSV)".

Find your saved table on your computer (Browse…), select and upload it to our system (Upload).

Note: You can only delete items that have never been part of a transaction or order. Deleted items are deleted definitively from your product list and you will not be able to restore them at any later point. However, you can upload them again or select them from the Marketplace catalogue.

The import table includes max 1000 SKU. Deleting more than 1000 SKU-s can be solved in several parts.

What to do if the bar code changes while we are working together?

If it is only the bar code that changes, we suggest you create the given product again in both your webshop and at Webshippy. You can do this basically the same way as if it was a new item replacing the product from the old collection with the old bar code. This way we can keep the history of the "old" products in our system and our processes can keep on working.

IMPORTANT!!! The new product cannot have the same article number as the old one. In such cases, you can add a “-2” to the article number to mark that it replaces an old one ( e.g. old article number is ABC123, and the new one is ABC123-2).

What to do if the article number of your product changes?

It occurs quite rarely, and even then, usually it changes together with the bar code (that makes it a completely new product). If the article number changes, however, we recommend you leave it unchanged both in your webshop at and Webshippy. It will not cause you any problems!

What to do if the article number of the same product is different in your webshop and at Webshippy?

If a product is listed by different article numbers in your webshop and Webshippy, replace the SKU number in your webshop as it typically does not interfere with any operations. At Webshippy, on the other hand, it can cause some interruptions.

What about other product details and parameters?

You can modify all other information - besides the article number and bar code – anytime. For instance, you can change the name of the product by editing the product page: click on "Product management"- "Products", find and click on the item. Once you’ve done this, the product page opens and you can click on "Edit" on the right side of the Introduction header. After you’ve made your name-modifications, make sure to save them!

You can modify the names of a large number of your products if you export, modify the exported Excel file and then import the modified table back.

IMPORTANT!!! You cannot modify the article number or bar code during this operation either. Let’s say, if you modify the article number, the system will interpret it as if you would like to upload a new product and the item will appear twice, this time with another article number.

What to do if you must modify the article number or bar code of a product already registered?

If you must modify the article number or bar code ot a product without creating a new one, and you are not able to do this in the system, please let us know by registering a ticket with Webshippy (by clicking on the envelop icon in the top-right corner). Please provide all necessary information with this ticket: the article number of the product you need to modify, the new information, along with the reason for the change. We’ll look into the possibilities and contact you.

Deleting a Marketplace catalogue item from Products

If you would like to delete not your own, but a Dropshippy item from your product list, you can do this at the Dropshippy Product catalogue:

Click on “My listings” filter under Product categories, select the option “Items I list also" and delete the items from the list of your original products on the right (by clicking on “Remove from my products” on your product card). Now, you have deleted the products from your product list. Note that by doing this, the products have not been deleted from your webshop – you can do that manually, at the admin area of your webshop.
