Recording product information for customs clearance

Do you receive orders from outside the EU? Then these are important to know!

When products are sold abroad, you may have to pay customs duties.

If your customers are exclusively domestic or you only accept orders from EU countries, you can ignore the following, because fortunately, thanks to our membership of the European Union, sales within the EU are exempt from paying customs duties. However, if your target market is outside the EU, please read the following carefully.

Duty rates may vary from country to country. To find out which of the products you sell in your online shop may be subject to customs duties, please consult your accountant or a tax advisor. We can only help you with the logistical obligations.

We must include a printed invoice with every parcel sent outside the EU. If you have connected your invoicing software to Webshippy and we issue your invoices, there is nothing to do, as Webshippy recognises the destination country and, for parcels sent outside the EU, we will automatically print the invoice even if you have set up electronic (e-mail) invoicing.


IMPORTANT: If you do NOT use Webshippy to issue invoices and your invoicing software is NOT integrated with Webshippy, you will be responsible for uploading the invoices. In these cases, you will need to upload the invoice manually for all orders sent outside the EU.


For customs clearance, it is essential that the package document includes the type of goods in the package - without this, clearance may be delayed or even cancelled. This information must be provided and recorded by the supplier of the product when the product is created. So if you are submitting your own products to Webshippy and selling to countries outside the EU, please ensure that you have this information for all products. It is particularly important to specify the product type for the VAT management of your products if you have offered your products for resale to other online shops in the Marketplace catalogue as a supplier.

What should I specify?

The more precisely you specify the type of product you are sending, the easier and faster it will be to complete customs clearance. Therefore, please be as precise as possible. It is not enough to specify "Clothing", it is necessary to further specify "Men's shirt" or "Women's underwear". It is also important to specify the type designations in English!

To help you specify the type of products, you can consult the NAV website or the Common Customs Tariff document on the EU website.

Where do I record the type of product for customs clearance?

You can manually enter the product type for customs clearance in Webshippy in 3 places, depending on how narrow your product type selection is.

If all your products fall into the same narrow product category, you only need to enter it once, in General Settings or in Web Stores.

If, on the other hand, you offer products of several product types, you MUST ALWAYS SPECIFY THE PRODUCT TYPES!

1. Product level

If you sell products of different product types in your webshop, you MUST specify these product types at product level - the names you enter will ALWAYS override the names you specify generally or specifically for your webshop.

  • When creating a new product

Click on "New Product" under "Product Management" - "Products", then scroll to the middle of the page after entering the required information.

  • For existing products

You can enter this information afterwards, either in bulk with a product export-import or manually, one by one.

​In case of bulk capturing just export your products to an excel spreadsheet, then enter the product type ("Product description for customs clearance") for the products, and after saving, import back the same spreadsheet.


​When you are ready to capture, just click on the product in Webshippy's renderer ("Product Management" - "Products menu) and on the edit icon in the "Export" section of the "Sales" tab.

Afterwards, in the window that opens, fill in the Product Description for Customs Clearance field.

The product description name entered here will override both the type name entered in the general settings and the type name entered in the webshop-specific settings!

You can only set the product type here if all your products belong to the same narrowly defined product type (e.g. you only sell shampoos for men), to do this click on "Settings" - "Shipping and Packaging Settings" and fill in the field at the bottom of the page.

IMPORTANT! Even if you set the product type at the customer or webshop level, it is not enough to enter a generic name (e.g. "Clothing")

3. Webshop specifically

If you may have multiple webstores that offer different product categories, and they all fall into the same narrowly defined product type, you can specify these product types at the webstore level, they will override the generally specified category names.

"Settings" - "Sales Channels" click on the "Details" button on the right hand side of the webstore list, then in the middle of the page you will find the "Default Product Type" field.

IMPORTANT! Even if you set the product type at the customer or webshop level, it is not enough to enter a collection name (e.g. "Clothing")!
