Proper settings for Unas web stores

Step-by-step guide on what to check in your Unas webshop settings to ensure error-free operation

With the right settings, you can ensure that the integration between your Unas webshop and the Webshippy application works properly. Which areas may be affected by the settings:

  • Uploading products, product categories to your webshop

  • Manage out-of-stock products, ordering

  • Display of orders to be processed on Webshippy interface

  • Invoicing for purchase orders (VAT issue)


Important! One of the basic requirements for the integration to work is that your online store has sufficient storage space, given the size of the photos that are part of the products. The more products you upload to your online store, the more storage space you will need - up to several gigabytes. If you are short on storage space, expand it!


Connecting your webshop to Webshippy

Integrations and operations require that your online store is connected to Webshippy. You can find detailed information about this on the following page:

Once set up, the two systems should work as follows:

Product management

If you have your own products and they already exist in your Unas web store, you can simply upload them to Webshippy.

If you want to sell products from Webshippy's catalogue, you can easily upload the products you select from there to your webshop.

Webshippy's system is able to continuously update and synchronize the available, saleable quantity to your webshop, whether you have your own products in Webshippy's warehouse or sell other suppliers' products on your website.

In order for your webshop to be able to receive the stock sync data and handle it properly (e.g. what to do in case of out of stock), you need to make some settings in your webshop.


Important: if you are not yet a Webshippy partner, stock sync will not work and orders will not be processed!



If your online store displays products that are not available for sale in Webshippy's warehouse, please check the following settings:

For stock sync to work properly, you must first enable it in Webshippy:

"Settings" - "Sales Channels", then select your webshop, look for the "Synchronize product inventory with webshop" box and set it to "Yes".

Here you can configure whether inventory management is used by default when a new product is recorded, uploaded, synchronized. The stock sync will only work when it is switched on!

"Setup" - "Default settings" - "Product"
In the "New product" section, look for this setting:

"Stock default settings when adding new products", and tick "Use stock management". (see below)

This setting can be overridden and changed at the product level, so you may want to check there:

"Products" - "Manage Products" menu item, then there, selecting the product for editing: "Basic Data" - "Warehouse Management" check the "Use Warehouse Management" option.

You can also get to product-level inventory management faster from the product list, with one click:
"Products" - "Manage Products" menu item, then tick the "Use Inventory Management" section when selecting the product, then Warehouse, and then tick there aswell.

Check stock

You can check the current stock levels of products in your online store in three places:


1. "Products" - "Manage Products" menu item, then select the product you want to edit by selecting "Basic Data" - "Stock quantity"

2. In the product list, select "Products" - "Manage Products" on the right side of the product selection, but you can also access the stock and stock history of the product by clicking on "Basic Data" - "Stock" when editing the product.

3. You can also retrieve the inventory with a product export, you can download the XLS or CSV file containing the inventory from the following location:

"Products" - "Product database"

Don't forget to tick the "Stock" option in the options.

Set to display out of stock products

Here you can configure whether out-of-stock products should be displayed in the webshop for customers (and if so, where) or not. The exact setting of this can be important to prevent your customers from ordering a product that is not available for sale

"Setup" - "Default settings" - "Operation"

Look in the "Product Related"section, within that section, "Show Out of Stock Products" settings, and uncheck all the boxes there.

Then underneath, in the "Show active products that cannot be purchased" section, also uncheck the boxes.

Here you can configure how you want to display the stock of your products in your webshop, what your customers should see about the stock on the products page.

"Setup" - "Default Setup" - "Appearance", then at "Product Appearances":

Manage orders

Status synchronisation

The correct operation of the order synchronization is ensured by the correct setting of status pairs. You can find detailed help on this on the following page:

Settlement of order payment

There is no problem with payment by bank transfer, as the order will only be paid when the parcel is received. But in case of prepayment (by credit card on the website or by choosing bank transfer) only orders with Paid status will be entered in Webshippy's system.

You can check the payment status of your order in "Orders" - "Track Orders", and then in "Payment Method" under "Order Details" after selecting the order.

Billability of purchase orders

You can also prevent an order from being entered into the Webshippy interface if the order is not billable. A workaround is to select the order ("Order Details") and set it to "Billable" in the "Billing Status" section in the top right corner:

Of course, it's easier if you set all new orders to "Billable" in the default settings, so that no order will be blocked. You can do this by clicking on the "Order" tab in the "Default Settings"menu:

The correct setup of the Webshippy - Unas connection requires attention and accuracy. If orders placed in your webshop are not being entered into Webshippy, or if products or stocks are not synchronized correctly, we recommend that you go through the steps above and check all settings.
