Operating rules for supplying partners

Now that you've successfully uploaded your products to our catalogue and started working together, we'd like to give you a brief summary of what you'll need to look out for as a supplier partner.

A) If you provide immediate stock in our warehouse

Please note the following:

You'll find your trades in the Marketplace "Transactions" menu:

  • Always take care of your billing - if you are billing manually, upload the invoice for the transaction within 3 business days maximum;

  • If your invoices are generated automatically (using Billingo or your Invoice.com account), check regularly that they are completed correctly;

  • You can see when the consideration for a Marketplace transaction was forwarded to you in the 'Forwarded' column under Marketplace 'Transactions'.

Payment of transaction commissions:

  • Webshippy applies different commission rates by category. The current commission rates can be found here: Commissions for Marketplace products;

  • In 'Finance' / 'Service fees' you can see the invoices issued to you, which include the transaction commission and the value of the logistics services used;

  • You can see the status of your invoices in the 'Status' column, if it is still in pending status after the expiry date, we will ask you to settle it as soon as possible.

B) If you are supplying from external stock, from your own warehouse

Make sure that the API is working properly at all times, or if you are communicating via a Product Feed, make sure it is always available. Always inform us about your current stock and update your inventory several times a day.

Has there been a transaction, did they buy from you? Follow these steps!

  • Any business day at 3:00 pm, a shipment will be automatically created for the products (Product Management / Shipments) that you need to send to our warehouse the next day. (The fancy name on these shipments indicates that they contain Marketplace products.)

  • You must ship products to our warehouse strictly within 24 hours, max 48 hours. If you cannot do so, we will have to exclude you from our premium external stock suppliers after a second warning.

  • Gather the products on the list and bring them to our warehouse, or send them as a package, so that we can receive the products and forward them to your resellers. IMPORTANT! In all cases, please attach a shipping label to the box, which you can access by clicking on 'Operations' / 'Shipping Label', so that our receiving colleagues can identify your deliveries.

  • If you are sending/bringing in multiple shipments to us at the same time in one package, please separate the products associated with the separate shipments into separate bags/boxes and attach shipping labels to each one separately to avoid mix-ups.

  • If you anticipate that you will not be able to make a delivery on a particular day or period (e.g. due to inventory), please let us know at least one week in advance.

If for any reason you are unable to send in an item, please always indicate this in the software by creating a Customer Service notification (you can do this by clicking on the Envelope icon in the top right corner), referencing the transaction serial number and the delivery ID! Under no circumstances should you send a substitute, even if it is just a different colour/size. We ask you to pay attention to these  Read the emails we send you regularly about products/orders, and watch out for pop-up messages in the Webshippy interface and the news section. Your products should ALWAYS have the barcode that is included in the system. It is important to note that:
  • If you receive 0 stock data for 7 days via the API connection (or from the Product Feed) for a product, that product will automatically be removed from the catalogue,

  • Update: if you change the wholesale price of a product, the new price in the catalog will only take effect from 0am on the second day after the price change,

  • it is important to change the recommended retail price at this time!

  • When you update product descriptions, you must always notify us so that we can notify Dropshippers who trade these products.
